  • Overview

    PURPOSE

    Ensure the efficient day-to-day operations of the office/department, support the work of management and other staff, and perform a variety of administrative tasks.

    Responsibilities

    KEY RESPONSIBILITIES

    • Demonstrates a commitment to communicating, improving and adhering to safety policies in all work environments and areas.
    • Weekly/monthly customer invoicing process for HUS/AI
    • Prepare and distribute express mail and packages
    • Support onsite IT personnel as needed (computers, LCD projectors, meeting set ups, etc..)
    • Manage/maintain general office equipment (copiers, printers, fax machines, postage machines, etc...)
    • Set-up and dismantle conference rooms as requested by support staff
    • Maintain existing security system including disbursements of security cards
    • Manage toll free customer service number (Marketing Dept)
    • Custom Reed reports for customers/Market Managers
    • Lead follow-up (website, trade shows, toll-free numbers, MSDS, mill certs, spec data)
    • Sales office support (ship trade show booths, awards mailings, etc.)
    • Bulk ordering/calendar ordering/online store communications
    • Generating PO’s/service entries
    • Ariba ordering
    • Invoice/p-card processing
    • Sort and distribute mail
    • Order/purchase/stock inventories of various office supplies
    • All other duties as needed

    Additional Responsibilities related to Cement Bags

    • Responsible for all packaging requirements and potential quality and compliance issues.
    • Review with Safety Manager yearly to confirm if Warning Label on all Holcim & Lafarge bags meets OSHA safety requirements. Also review yearly with Legal department.
    • Review with MarCom Manager any brand changes required on Holcim and Lafarge bags, supervise those changes with artwork agency to produce new bag manual and individual bag artwork files and supply new artwork to approved bag vendors and manager of bagging facilities. Also review every 2 years product instruction text with Quality Manager or more often if and changes ASTM specifications occur.
    • Work with bag vendors to provide approval form and bag proofs on any run of new bags for a specific bagging facilities or bags not produced by that facility in 2 years. Ensure proofs meet branding requirements, weight, warning labels, product instructions, UPC code and color as outlined in bag manual.
    • For trial runs of new potential bag vendors, ensure proofs meet all requirements outlined in bag manual and review of ink color drawdowns to make sure Pantone/PSS colors are being met.
    • When approval has been completed sign Artwork Approval form and make sure Bagging Facility Manager has also approved Bag Dimension forms.
    • Creation of new UPC code for any new bag product created. Also work with Material Master Group to create new bag material number for that product.
    • Conduct bag audits every 2-3 years to make sure bags are being produced correctly by approved bag vendors.

    RELATIONSHIPS WITH OTHER JOBS

    • Interact with all departments and employees within the office building
    • May also interact with visitors and contractor

    Qualifications

    KNOWLEDGE, SKILLS & ABILITIES

    Required Education:  Associates Degree

    Additional Education Preferred:  Bachelor Degree

    Field of Study Preferred:  Marketing or Procurement

    Required Work Experience:  1 year related work experience

    Required Computer and Software Skills:  Advanced knowledge of Microsoft Office, and internet searches, SAP experience a plus

    Travel Requirements:  Minimal, 3 -5 trips per year
